Kimberly,

I actually talked to the Lepin and Renehan and forgive me I don't have the ladies name handy that I spoke to. It was not Linda, it was the actual lady that deals with the keys. I asked her about the pool key, for a tenant that I helped with a rental property, and she told me she would issue a key to the tenant if she had record that one was not issued. She said the tenant could bring a copy of their lease agreement. The owner of this home, moved due to a job relocation about a month after the home was completed and they have a pool in the backyard, so the owner never picked up a key.

I will locate the name of the lady I talked to and let you know. But I asked specifically for my tenants, because I have 2 clients here in Cobblestone that are out of town owners.

Well isn't that a hum dinger. It kinda makes me and the board look badly when the management company is the one making the rules (aka keys issued to the person on the mortgage/homeowner ONLY).....then they waffle and go against their own rule.
The reason for this was to reduce the possibility of people claiming to be renters to get a pool for our amenities.
The homeowner is the one responsible for paying the HOA fees which goes toward maintenance, etc of the amenities we have. Thus, it was my understanding (per the management company) that the ONLY ones being issued a key would be the homeowner.
If the homeowner rents out the property, it is their responsibility for getting the key to the renter.
I have another call into the management company to get this cleared up.

And I swear I am not lying or trying to make any process difficult.
I was just trying to communicate what our management company has consistently told the HOA board in regards to pool keys.

Update:
Rebecca just called me back from the management company (Linda's assistant).
She stated the following:

The management company would PREFER to work directly with the homeowner only.

However, they will work with renter under these stipulations:

1) The HOA fees have to current. AKA, any outstanding HOA fees associated with the property will result in no keys given out. The homeowner will have to be involved to bring their balance current.

2) Proper ID must be brought in (driver's license)

3) Lease with renter's info plus landlord's/homeowner's info must be on the lease so that they(the management company) can verify with homeowner that this is a legitmate renter.

4) If the management company shows that a KEY RECEIPT has already been issued to the homeowner, then either 1) the homeowner must give the keys to the renter or 2) the homeowner OR the renter must pay for a replacement set of keys.

It might be best for any renter to contact their homeowner first and try to work that angle rather than drive into the management company only to find out that they can't get a key because HOA fees are not current OR find out that they (or the homeowner) might have to pay for a replacement set of keys.

I hope this helps.

BTW, rebecca is looking up the cost of the replacement keys now....she will call me back.

Off the top of her head she thinks the replacement set costs somewhere around $25.
